Vacation Rental Terms and Conditions
Guest Responsibilities and Community Guidelines
• Respect for Neighbors and Community: Guests must conduct themselves respectfully and avoid disturbances. Excessive noise and disruptive behavior are strictly prohibited.
• No Events or Parties: Events, parties, or large gatherings are not permitted. Unauthorized events will result in immediate termination of the rental agreement and forfeiture of all payments.
• No Unauthorized Guests: Only registered guests are allowed on the premises. Unauthorized visitors may result in additional charges and/or immediate cancellation of the reservation. Surveillance may be used to monitor compliance.
Occupancy and Fees
• Occupancy Rates: Rates are subject to change until the reservation is confirmed.
• No Hidden Fees: The total price includes all applicable fees and taxes. There are no extra charges upon arrival for parking, beach towels, air conditioning, etc.
• Minimum Age Requirement: The responsible renter must be at least 25 years old and be a registered guest at the property.
• Occupancy Limits: Each property has a designated maximum occupancy limit, including all adults, children, and infants. Exceeding this limit will result in a $500 fine and possible termination of the rental agreement.
• Major Holidays: A 7-night minimum stay is required for major holidays. A 14-night minimum stay is required if booking both Christmas and New Year’s.
• Lost or Stolen Amenity Card/Key Fee: A $250 fee will be charged for lost or stolen amenity cards or keys.
Payment Terms and Cancellation Policy
• Additional Service Fee: A fee of $85 will apply for any extra service requested, including storage and shipping of left items or accepting parcels.
• Deposit and Payment: Full payment is required at the time of booking. Transient Accommodations Tax (TAT) and General Excise Tax (GET) will be applied.
• Cancellation Policy:
o Booking Platforms: The cancellation policy of the respective platform (Airbnb, VRBO, etc.) will apply.
o Direct Bookings:
Cancellations within 2 days of booking: Full refund.
Cancellations after 2 days: Non-refundable.
No refunds for last-minute bookings (check-in within 2 weeks).
o Cleaning Fees: Always refunded in any cancellation.
• Refund Policy: No refunds will be issued for:
o Late check-ins, early departures, unused services.
o Flight cancellations, weather-related issues, or emergencies (except in cases of official mandatory evacuation orders issued by the county. In such instances, a refund will be provided for the days the order was in effect).
• Travel Insurance: Strongly recommended, as refunds are only issued if the property becomes uninhabitable and no alternative accommodations are available.
Check-In and Check-Out
• Check-In: 4:00 PM
• Check-Out: 10:00 AM
• Late Check-Out Fee: $250 per hour for unapproved late check-outs.
Property Use and Maintenance
• Property Boundaries: Some properties may not be fenced. Guests are responsible for ensuring the safety of all occupants, especially children, and should exercise caution when near unfenced areas.
• No Smoking: Smoking is strictly prohibited inside and outside all properties. No smoking on lanai’s, patios and balconies or common areas. Violators will be charged a $500 fine and may be evicted.
• Pest Control: Hawaii’s tropical climate may result in occasional encounters with insects such as bugs, ants, and geckos. Guests should keep screen doors closed and maintain cleanliness to minimize encounters. Pest sightings, whether inside or outside the property, are not grounds for refunds or compensation.
• Pool/Hot Tub Use: Use is at guests’ own risk. Some areas might not be fenced. No lifeguards are provided. Children must be supervised at all times.
• BBQ Use: Contact management for propane refills (may take up to 24 hours). Due to potential disruptions in gas service on the island, we do not guarantee gas delivery for properties equipped with BBQs.
• Housekeeping: Properties are cleaned before arrival. Guests must maintain cleanliness and dispose of trash properly.
• Parking:
o Guests must park in designated areas assigned to the rental property.
o Unauthorized vehicles may be towed at the guest’s expense.
o If an HOA requires parking permits, they must be displayed at all times.
o Oversized vehicles, commercial trucks, and RVs are not permitted without prior written approval.
• Natural Disasters: Refunds will not be given for delays, cancellations, or closures due to hurricanes, tropical storms, volcanic activity, etc. We strongly recommend purchasing travel insurance.
Liability and Indemnification
• Assumption of Risk: Guests acknowledge the risks of island travel, including flight delays and limited availability of goods/services. The property owner and Aloha Hello Vacation Rentals are not liable for disruptions or inconveniences.
• Waiver for Recreational Activities: Guests use recreational equipment (e.g., beach gear, bicycles) at their own risk. The property owner/manager is not liable for injuries or damages.
• Hold Harmless: Guests agree to indemnify and hold harmless the property owner and management company from any liabilities, injuries, or damages incurred during their stay, except in cases of gross negligence or willful misconduct.
Maintenance & Appliances
• While we strive to address issues promptly, appliance failures are not grounds for refunds, unit moves, or compensation. Guests should report any issues immediately so that repairs can be scheduled as quickly as possible.
Pet/Service Animal Policy
• No Pets Allowed: Bringing pets will result in additional cleaning fees and eviction. No refunds will be given.
• Service Animals: Guests must notify management in advance if traveling with a service animal. Under the ADA, we may ask:
o Is the service animal required due to a disability?
o What task has the service animal been trained to perform?
• Emotional Support Animals (ESA) are not covered under ADA and may not be allowed.
• HOA approval may be required before arrival.
Fireworks
• Absolutely no fireworks are permitted on the premises.
Security & Emergency Procedures
• Lockout Assistance: A $150 fee will be charged for lockout assistance outside regular business hours (9 AM – 5 PM HST).
• Emergency Contact: Dial 911 for emergencies. For non-emergency property issues, use the number provided in check-in instructions.
Local Rules & Regulations

2. Number of guests on reservation is the maximum number of guests allowed at any time on the property. NO OUTSIDE GUESTS ALLOWED during your stay unless approved prior to arrival. NO EXCEPTIONS.
3. Check-in time is 4:00 PM, check-out time is 10:00 AM unless noted otherwise.
4. No glass in the pool area.
5. No unsupervised children in the pool/spa area.
6. Please be respectful of neighbors and keep noise levels down.
7. Quiet hours are from 8:00 PM to 8:00 AM. Noise must not unreasonably disturb adjacent neighbors.
8. Sound that is audible beyond the boundaries during non-quiet hours shall not be excessive beyond what is typical in a residential area.
9. Guest vehicles must be parked in designated parking areas.
10. The short-term vacation rental shall not be used for commercial purposes.
11. Aloha Hello Vacation Rentals guests are to abide by the “Good Neighbor Policy” as stated in Hawaii County Code, Section 25-4-16(c)(2).
12. FAILURE TO COMPLY WITH THE GOOD NEIGHBOR POLICY STATED ABOVE WILL BE CONSTRUED TO BE A VIOLATION.
Internet/WiFi Policy
• Fair Usage Policy: Internet service is provided for general browsing, email, and streaming. Excessive bandwidth usage that affects other guests or disrupts service may be restricted.
• Streaming & Gaming: Streaming and online gaming are allowed. However, guests should be aware that high-bandwidth activities may be subject to network limitations imposed by the service provider.
• Service Interruptions: Due to the nature of island infrastructure, internet speeds and availability may vary. Internet service is provided by a third-party provider, and while we strive to ensure reliable connectivity, outages or slow speeds may occur beyond our control. No refunds will be issued for temporary service interruptions.
General Terms, Restrictions & Disclosures
• Beaches: All beaches in Hawaii are public; there are no privately owned beaches. Aloha Hello Vacation Rentals will not be held liable or extend cancellations/refunds due to beach closures.
• Ocean Warning: Swimming has inherent risks. Wave conditions and dangerous sea creatures vary. Guests swim at their own risk—lifeguards are not provided.
• Pool/Hot Tub Closures: Hours and rules are posted on the property. Lost pool/hot tub keys will result in a replacement fee of $250. Aloha Hello Vacation Rentals will not be held liable or provide refunds due to pool/hot tub closures.
By proceeding with this booking, guests acknowledge and agree to abide by all terms and conditions outlined in this agreement. Failure to comply may result in penalties, additional fees, or termination of the rental agreement without refund.

Additional rules
(a) Quiet hours shall be from 9:00 p.m. to 8:00 a.m., during which time the noise from the STVR (Short Term Vacation Rental) shall not unreasonably disturb adjacent neighbors.
(b) Sound that is audible beyond the property boundaries during non-quiet hours shall not be more excessive than would be otherwise associated with a residential area.
(c) Guest vehicles shall be parked in the designated parking area (marked with unit number).
(d) The STVR shall not be used for commercial purposes.
(e) NO EVENTS or loud parties. Please respect our neighbors.
